Executive Secretary

iTrend Holding Inc. is seeking a highly organized, proactive, and detail-oriented Executive Secretary to provide administrative support to our CEO and executive team.

The ideal candidate will be a strong communicator, possess exceptional multitasking abilities, and have a deep understanding of executive office operations.

Responsibilities

  • Key Responsibilities:

    Executive Support: Assist the CEO and executive team in managing daily schedules, appointments, and meetings.

    Communication Management: Serve as the primary point of contact between the executive team and internal/external stakeholders, including managing emails, phone calls, and correspondence.

    Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and minutes. Ensure all logistical aspects of meetings are efficiently handled.

     

    Travel Arrangements: Plan and coordinate travel itineraries, accommodations, and related logistics for the CEO and other executives as needed.

    Document Preparation:  Draft, edit, and proofread reports, presentations, and other

    documents. Ensure all materials are accurate and delivered on time.

     Confidentiality: Handle sensitive information with the utmost discretion and confidentiality.

    Office Management: Oversee the organization of the executive office, including maintaining files, ordering supplies, and coordinating with other departments as necessary.

    Project Assistance: Support various projects as needed, ensuring timelines are met and deliverables are achieved.

    Ad hoc Tasks: Provide additional administrative support as required by the CEO and executive team.

    Qualifications:

    Education:

    Bachelor’s degree in Business Administration, Communications, or arelated field preferred.

    Experience:

    Minimum of 5 years of experience in an executive administrative role, preferably within a corporate environment.

    Skills:

    Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

    Excellent written and verbal communication skills.

    Strong organizational and time management abilities.

    Ability to work independently and handle multiple tasks simultaneously.

    Exceptional attention to detail and problem-solving skills.
